Support in preparing a design brief

The design brief is a prime document that guides the design process. A well-written design brief creates preconditions for efficient real estate development.

Oktopaz prefers the preparation of a clear and concise design brief that includes all the relevant information – to ensure a good overview of the project.

The checklist for preparing a design brief contains many parameters. In a nutshell, Oktopaz considers aspirations, goals and visions (client requirements), opportunities and constraints, the site and existing conditions, the type of building and structure, a detailed breakdown of spaces within the facility, technologies, materials and equipment.

Designer selection

This service consists of prequalification, bid definition, bid analysis report, and negotiation support.

Oktopaz comes out with a long list of designers to prequalify. We suggest competent and quality companies with due care. Companies are evaluated based on their references, solvency, workload, and professional and technical capacities.

We prepare the tender documents with due care, whereas, if possible, the client assists with inputs such as a comprehensive design brief.

Oktopaz sends the request for proposals (RFP) to those companies that have successfully passed the prequalification.

Once we collect the bids from the interested companies, Oktopaz makes a detailed analysis, distilling all information and suggestions into a comprehensive bid analysis report. We submit a minimum of 2 to 3 received bids with this report.

Oktopaz assists with draft contract definition. We provide the client with professional advice and support during the contractual negotiations and contract signing, always keeping his best interests in mind.

The scope of work of the selected designer is the preparation of design documents, obtaining the necessary permits and approvals, and providing the Environmental Impact Assessment (EIA) Study if the law requires it.

Tender for the general contractor selection

This service consists of prequalification, bid definition, and bid analysis report.

Oktopaz proposes a model with the general contractor in charge of all works. This model is simple enough for construction management and defects liability period as there is a single address for all the work and guarantees. However, the client may nominate subcontractors for the work requiring special attention, preferably in the earliest phase, to be part of the request for proposals (RFP). The general contractor then coordinates all the nominated subcontractors.

We come out with a long list of prospective contractors to prequalify. Oktopaz suggests competent and quality companies with due care. Companies are evaluated based on their references, solvency, workload, and professional and technical capacities.

Oktopaz prepares the tender documents with due care. The tender documents include the invitation letter, bid template, design documents, specifications, bill of quantities (BoQ), and the vendor list.

Oktopaz assists the client by supporting the draft contract definition. We provide the client with professional advice and support during the contractual negotiations and contract signing, always keeping in mind the client’s best interests.

The building contract review is essential as a well-constructed building contract guides everyone involved and ensures nothing goes wrong during the construction phase.

Our building contract review entails engineers whose background extends beyond technical matters and includes legal, financial, and risk management knowledge. Oktopaz’s engineers have reviewed many similar contracts throughout their careers.

In addition to engineers, Oktopaz includes lawyers in the contract review team. They are specialists in contract law with extensive experience and knowledge of construction contracts. With this approach, we look at contractual issues from all necessary angles.
